General Tips for Gathering Year-End Reports

Identify Key Reports Needed

Before diving into platform-specific steps, let’s make sure you know what to gather. Having the right reports on hand will make your tax prep much smoother. Here are the essentials:

  • Sales Summaries: These give you a clear picture of your total revenue for the year.
  • Expense Breakdowns: Look for reports that show fees, shipping costs, and any other deductions taken from your payouts.
  • 1099-K Forms (if applicable): If your sales hit the threshold, your platform will issue this form—it’s a must-have for taxes.
    • Current laws state 1099-K forms are issued by January 31 if your gross sales for a selling platform exceed these limits:
      • 2024: $5,000
      • 2025: $2,500
      • 2026: $600
  • Settlement Reports or Transaction Histories: These provide detailed line-by-line records of your sales, refunds, and fees, which are helpful for reconciling your books.

Best Practices

Keeping your data organized is key, especially if you sell on multiple platforms. Here are a few tips to stay on top of things:

  1. Use a Spreadsheet to Stay Organized
Create a central spreadsheet where you can consolidate data from all your platforms. Include columns for total sales, fees, shipping costs, and refunds. This will save you—and your accountant—a lot of time when it’s time to reconcile.
  2. Cross-Check Everything
Don’t rely on just one source. Match your platform reports against your bank statements or payment processors to ensure nothing is missing or mismatched. If a payment didn’t hit your account, now’s the time to investigate.

Being proactive about gathering these reports and organizing them will save you from the chaos of last-minute scrambling. Plus, clean, accurate data means fewer questions from your accountant and potentially a lower tax bill. Win-win!

Apple Pay / Apple Cash

If you accept payments through Apple Pay, it’s important to track your transactions and gather the necessary financial data for tax preparation. Since Apple Pay is not a payment processor, it does not issue 1099-K forms. Instead, the platform facilitating your sales (such as Green Dot, Shopify, Stripe, PayPal, or Square) will provide transaction reports and tax documents.

How to Track Apple Pay Transactions

Apple Pay transactions are processed through your linked payment provider, so you’ll need to pull reports directly from that service. However, you can still check your Apple Pay activity within your Apple Wallet.

Here’s how to view your Apple Pay transaction history:

  1. Open the Wallet app on your iPhone or iPad.
  2. Select the card used for accepting payments.
  3. Tap Transactions to view a list of purchases and payments.
  4. Scroll through the history or tap on an individual transaction for more details.

This method provides a quick reference, but for full reports, download records from your actual payment processor.

Apple Pay / Apple Cash 1099-K and Year-End Reports

Since Apple Pay does not process payments directly, it does not provide a 1099-K form. Instead, check with the service you use to accept Apple Pay.

If you use Apple Cash, processing is made through Green Dot Bank.

To access your year-end financial reports, log into your payment provider’s dashboard and navigate to their reports or tax documents section.

By staying organized and retrieving your transaction reports from the correct processor, you’ll ensure a smooth tax season without missing any sales data.

Walmart 1099-K Report

Walmart themselves is not a payment provider and does not issue 1099-K’s.  There are two main payment providers Walmart uses: Payoneer and Hyperwallet.  Those companies will issue 1099-K’s if you qualify.

Walmart Hyperwallet 1099-K Report

If you use Hyperwallet to receive payouts from Walmart Marketplace, they are responsible for issuing your 1099-K if you meet the IRS reporting threshold. Hyperwallet will provide a summary of your gross payment transactions for the year.

To download your 1099-K from Hyperwallet:

  1. Log into your Hyperwallet account.
  2. Click Resources from the menu bar (desktop) or menu icon (mobile).
  3. Under Resources, click Tax Documents.
  4. Look for your 1099-K form listed under the heading Available Year End Tax Documents.
  5. Click the Action drop-down menu beside the form to find an option to download the form.

Walmart Payoneer 1099-K Report

If your Walmart payouts are processed through Payoneer, they will issue the 1099-K for your account if you meet the IRS threshold. Payoneer provides a convenient way to access your tax forms online.

You’ll receive an email from Payoneer with instructions on how to access your 1099-K if eligible. Your tax1099.com password will be as follows:

  1. Eight characters in length
  2. The four characters of your legal business name or first name (all lower case) + last four digits of your EIN.

If you can’t log into Tax1099, contact Payoneer Support for assistance.

By downloading both the Annual Summary Statement and the 1099-K Report, you’ll have everything you need to ensure accurate tax filings. These reports provide a complete and organized view of your sales and expenses, making tax season far less stressful.

Other Platforms

If you sell on smaller or less common platforms, gathering your financial reports may require a bit of digging. While the process can vary, there are a few general steps that apply to most platforms, along with tips to avoid common issues.

General Instructions

To locate and download financial reports for tax preparation, follow these steps:

  1. Log into Your Seller Account
Start by accessing your platform’s seller portal. This is typically where all transaction data is stored.
  2. Look for Financial or Transaction Reports
Navigate to sections labeled Payments, Reports, Finances, or Sales History. These areas often contain the details you’ll need.
  3. Check Report Contents
Make sure the reports you download include the following key details:

    • Gross sales: Total revenue before deductions.
    • Fees: Any platform, transaction, or processing fees.
    • Refunds or returns: Amounts subtracted from your gross sales.
    • Payouts: The net amount deposited into your account after fees and adjustments.
    • Taxes collected: If the platform collected and remitted sales tax on your behalf, this should be noted.
  4. Set the Date Range
Adjust the filters to cover the full year or the specific tax period you’re preparing for.
  5. Export the Data
Download the reports in a CSV or PDF format for your records. If the platform allows CSV downloads, these are ideal for importing into bookkeeping software or organizing in spreadsheets.
  6. Verify and Reconcile
Cross-check these reports against your payment processor or bank statements to ensure no transactions are missing.

General Instructions for 1099-Ks

If your platform or its payment processor issues 1099-K forms, here’s how to locate and handle them:

  1. Understand Eligibility
Platforms or processors must issue a 1099-K if your gross payments exceed the IRS thresholds. 2024: $5,000, 2025: $2,500, 2026: $600.
  2. Log into the Tax Section
Most platforms have a dedicated section for tax documents, often under Settings, Tax Center, or Finance.
  3. Download the 1099-K
    • Locate the form under Tax Documents.
    • Ensure it covers the relevant tax year.
    • Download the form as a PDF for your records.
  4. Verify the Information
    • Cross-check the gross sales reported on the 1099-K with your financial reports to ensure accuracy.
    • Remember, the 1099-K includes gross payments only—it does not account for fees, refunds, or adjustments.
  5. Reach Out if Missing
If you believe you should have received a 1099-K but don’t see one, contact the platform’s support team or the payment processor.

Some payment providers may still issue physical 1099-K’s to you in the mail and may not be available online.  They should be mailed to you by January 31.

Common Pitfalls and How to Avoid Them

  1. Missing Reports
    • Some platforms may not generate automatic year-end summaries. Be proactive and download monthly or quarterly reports throughout the year to avoid scrambling at tax time.
  2. Inconsistent Data
    • Cross-check your platform reports with payment processor statements and bank deposits to ensure all transactions are accounted for.
  3. Report Format Issues
    • If your platform only allows PDFs, you may need to manually input data into a spreadsheet. Consider tools or software that can convert PDFs to CSVs for easier organization.
  4. Fees and Adjustments
    • Platforms often deduct fees before payout, so the gross sales on your report may not match your deposits. Ensure you reconcile fees separately to maintain accuracy.
  5. Missing 1099-Ks
    • Not all platforms issue 1099-Ks. Check with your platform or payment processor to determine responsibility. If they don’t provide one, ensure you manually track your gross payments for tax filing/

By ensuring your reports contain the necessary details and confirming the availability of your 1099-K forms, you’ll have all the data you need for accurate tax preparation. Organizing this information now will make filing your taxes smoother and stress-free.
